Annual Meeting
- CALL TO ORDER ROLL/CALL An annual meeting is required, but typically it consists of a retiring board handing over the authority to a newly elected board. Since we are in interim board status, this is how the attorney said to move forward. This part of the meeting will be led by Mrs. Nading.

- RESOLUTION TO ESTABLISH DEPOSITORY BANKS AND LIMITS FOR DISTRICT FUNDS FOR VARIOUS ACCOUNTS We have established accounts at Bank First, Kendt Bros and Elgin State. Sue can fill you in on the appropriate limits for all accounts.
- DESIGNATE NEWSPAPER(S) FOR PUBLICATION OF PROCEEDINGS & OTHER NOTICES I recommend we stay with two newspapers, The Fayette County Union and the Elgin Echo.

- FY18 Fiscal Report – At this link https://www.smore.com/gczwd I have created a full report of past years revenues and expenses plus year end balances for board and public access. It’s a new platform I am trying out for the newsletters and other reports to the public.
- WUE Roof bids We have gone out for bids which will be due on October 17. There is a pre-bid meeting in my office Wednesday October 10. We have posted a public hearing and special board meeting for October 22 at 6:00 pm in the HS to consider accepting bids for this project. The Public Hearing is new legislation connected to district expenditures on capital projects funded with SAVE dollars.

- Consider purchase of school vehicle Two bids for similar vehicles were submitted by Torkelson and Moss as follows:
- Torkelson Motors 2017 Chevy Malibu, 10,600 miles $18,900
- Moss Sales & Service 2017 Chevy Malibu, 14,814 miles $16890
My recommendation would be to purchase the lower cost vehicle at 14,814 miles
- Approve resolution for Lease/Purchase agreement The two new buses were purchased through a 5 year Lease Purchase. This document is the Lease Agreement with Farmers State Bank. All seems to be in order, I recommend approval.
- Approve amended request for Special Ed deficit We have a different sum for the Special Education deficit, there were some expenditures not included in the previous motion. This one is larger, up to $ ?
- New Business
- Approve Field Trips In your packet you have a list of field trips proposed by Mr. Elliot for WUE and Fayette Elementaries. We approved HS and Valley trips last month so this should be all of them. I recommend approval.
- Consider Playground equipment for Fayette I have requested price quotes on two items for playground equipment at Fayette Elementary. While they do have GaGa pits and soccer nets among other ball games they are of the age where they need something different to climb and play on at recess. One piece is a 6 seat swing set, and the other will be a synthetic climbing rock with a rope bridge that we can just install on a cement pad. I’ll have prices Monday, and the only added cost will be the concrete and wood chip surface.
- Approve Resolution to identify as NFV This is a resolution we need to do to have real property placed in our ownership. We will also execute/approve Quit Claim Deeds for all properties from previous districts. Once we execute the deeds, Mr. White will record them and that will be another big step completed.
- Approve transfers of Quit Claim Deeds above mentioned deeds of school buildings changing hands.
- Consider accepting AEA building
- Consider invitation to join NorthEast Iowa Conference The letter from the NEIC is in your packet as well as the data on enrollments etc. On that data, enrollments are the K-12 students and BEDS refers to the official counts that the athletic associations make when assigning classifications, this is the top 3 grade (10-12) of all schools. I also have included what Mr. Wolverton, Mr. Imoehl, Ms. McCartney and I have found for pros and cons on each side of this issue. I have shared all this with the coaches.
We made an effort to get ideas of what kind of numbers these schools have in their programs, haven’t gotten much data at all, but I assume the reflect most BEDS enrollments pretty closely. The number and types of activities of the NEIC are all very similar to what the bigger schools of the UIC conference, there may be a few tennis teams, an orchestra, but I do not think they are conference activities.
I believe we will have coaches in attendance and Mr. Krambeer will want to address the board if he’s able to attend. There may be some parents after reading the article in the paper, We do have a time limit to public participation of 4 minutes per person, if it comes to that.
- Appoint Board representatives for NFV SIAC We are trying to mix in new people on the SIAC, we could have up to three board members attend these meetings, do we have volunteers?
- First Read Board Policy 903.2 Volunteer Drivers I would like to give teachers and coaches some guidance on who they can ask to volunteer for them. This new paragraph has my preliminary thoughts on age limits.
